Upload and prepare documents

Prepare supported files, understand scanning and parsing, and resolve upload problems safely.

Prepare files

Use complete, readable source files rather than screenshots when possible. Keep one logical submission per candidate and give every file a meaningful name. A clean source improves classification, citation accuracy, and reviewer confidence.

  • PDF is preferred for page-stable evidence.
  • DOCX and common image formats may be accepted when enabled by your workspace.
  • Password-protected, corrupted, or unsupported files cannot be parsed.
  • Split unusually large bundles only when the split preserves the identity of the candidate and document type.

What happens after upload

  1. DocIQ validates the file and records its content hash.
  2. The file is scanned for malware before processing.
  3. Text, layout, and page information are extracted. Scanned pages use OCR when needed.
  4. DocIQ reports parsing status and any readability warning.
  5. The immutable source and its parsed version become available for classification and citation.

Resolve common issues

  • Upload rejected: confirm the format and size, then create a fresh export from the source application.
  • Virus scan failed: do not rename or repackage the file to bypass the check. Obtain a clean source from its owner.
  • Unreadable pages: replace low-resolution scans with a text PDF or a 300 DPI scan.
  • Duplicate detected: verify whether the same content was already uploaded; identical files do not need to be processed twice.
  • Processing appears stuck: refresh the project once, then record the correlation ID and contact support if the status does not change.

Sensitive documents

Upload only material your organization is authorized to process. Project access controls who can view a document, while download links are short-lived and issued only after an access check.

Note: Treat every uploaded document as evidence, never as instructions to the system.
